  • Workplace Services Coordinator

    Location: Hybrid, Philadelphia or Exton, PA

    Position Summary:

    Bentley's Workplace Services department is looking for an experienced Workplace Coordinator to assist with creating spaces that inspire our colleagues and are welcoming to all visitors. You will support the Director of Workplace Services with various projects involving any of our 100 global locations, including but not limited to space design, furniture selection/reconfiguration, construction/build-out, office branding and office moves.

    Day-to-Day Responsibilities:

    • Day-to-day coordination of all aspects of workplace projects, including planning, managing, and organizing resources to ensure timely completion within budget and to the satisfaction of our internal clients.

    • Develop project schedules, timelines, and budgets.

    • Communicate with contractors and other stakeholders to ensure project success.

    • Monitor project progress and adjust as necessary to ensure timely completion.

    • Ensure budgetary compliance and oversight of workplace projects.

    • Prepare project status reports for management and other stakeholders as required.

    • Assist with space utilization and workplace design activities to ensure effective use of Bentley spaces and use of standards and compliance with policies.

    • Improve processes, systems and reporting to enhance the workplace and support a positive colleague experience.

    • Foster collaboration and development within the team and across Bentley.

    • Provide administrative support as/when required.

    • Provide innovative, data driven, and cost-effective solutions to meet workplace needs.

    What You Bring to The Team:

    • BSc/BA in Construction Management, Corporate Interior Design, relevant field, or equivalent training and work experience.

    • Minimum of 4 years of experience in workplace/real estate project management in a commercial office environment.

    • Strong understanding of construction procedures and material and project management principles.

    • Strong leadership and organizational skills to handle multiple competing priorities with a strong sense of urgency.

    • Excellent communication and interpersonal skills for effective collaboration.

    • In-depth knowledge of workplace subjects like space planning/utilization and furniture strategies.

    • Proficiency in technical tools and software such as Adobe Acrobat and Microsoft Office 365.

    • Global mindset with experience in working with diverse teams and navigating cultural nuances.

    • Strong attention to detail.

    • This is a full-time role expected to work 40 hours per week, hybrid in Philadelphia or Exton, PA.

    • Requires sitting or standing at will while performing work on a computer (or any otherphysical requirements (~~~) ). The role requires communication with managers, peers, and other colleagues of the company in person (on occasion), and by utilizing Microsoft Teams chat, calling, and meeting functions.

    • This role requires travel up to 10%.
