Position Purpose
As the Process Owner and Site Focal, the primary objective of the Track Analyst is to implement, monitor, and report on the E2E process for all contract companies utilizing the Track software program within the Maintenance, Turnaround, and Construction (MTAC) organization as well as the overall Scotford site. Your role is to support Scotford's "Less Cost" goal through the identification of opportunities and problems and implement solutions while collaborating with site stakeholders, including the MTAC Leadership Team and Project Controls team, to continue to drive Scotford's cost competitiveness.
As a Track Analyst, you will act as the gatekeeper between vendor-provided data and the Shell payment system. This position has overall responsibility for maintaining the integrity of the Scotford Track master data and management of contract vendors, seeking cost control, transparency, and contract compliance.
Accountabilities:
Track Process Owner and Site Focal to implement, monitor, and report on end-to-end processes for TRACK, including maintenance, turnarounds, and projects
Responsible for maintaining the Track process, procedures, application, and improvements for the site
Lead the maintenance and improvement of the end-to-end daily TRACK process
Oversees tracking daily execution and compliance
Responsible for master data configuration within TRACK, including but not limited to:
Build, maintain, and assign work schedules as required
Troubleshoot issues and correct the root causes of any missing skills or schedules
Time tracking and billing: set up new hires with skill and pay formulas
Set up and maintain all vendor agreements and rates in Track
Manage Skill Master data and associated work centers
Maintain master data clean up, such as inactive contract employees, pay formulas, schedules, agreements, skills, and associated work centers, etc.
Audit data, clarifying questions, providing explanations, and participating in audits related to TRACK
Review labor contracts and identify cost-saving strategies
Support the turnaround group with contract labor agreements to identify hidden labor charges
Create a pay formula request for turnaround vendors and all setups needed to support the labor agreements, skills, and schedules
Interface with Track Shell Regional Track Subject Matter Expert, Shell IT, and Track Vendor, MCI
Responsible for weekly/monthly reports (KPI reporting, etc.)
Integrity reporting for duplications/cost avoidance savings
Outstanding authorizations weekly to approvers and supervisors
Outstanding allocations status reports to vendors (weekly)
Onboard new vendors to the Track end-to-end process, including loading rate sheets, QA/QC outline agreements, and purchase orders
Provide feedback to Business Performance Review meetings; provide data and insights on invoicing; and provide vendor feedback for continuous improvement
Utilize and maintain multiple sources of data: SharePoint, OneNote, Track, PowerBI dashboards, and Power Automate workflows
Requirements:
Must have legal authorization to work in Canada on a full-time basis for anyone other than your current employer
You must have a minimum 1-year experience with a strong technical background and knowledge in contract management, requisition to pay, and site-based operations
Bachelor's degree in business is preferred
Previous exposure to Continuous Improvement methodologies
Experience in GSAP and SAP Blueprint is preferred
Experience in use of TRACK
Strong Excel experience and proficiency in all other Microsoft Office software
Experience with PowerBI and Power Automate is preferred
Proactive and effective problem-solving and decision-making skills
Proven capability in training, coaching, and mentoring
