  • Scope of Work

    Reporting to the Manager, O&M Division, the O&M Sr. Administrator will oversee and ensure execution of division level administrative requirements supporting a diverse team consisting of 4 managers, 17 supervisors and 300+ employees. Manages training and procedural updates across the department. Responsible for managing and responding to the 2nd and 3rd shift action requirements. Using independent judgment and discretion, the aggressive and creative thinking candidate will support the division manager and O&M CI lead with evaluating, developing, implementing, tracking, measuring, and reporting continuous improvement initiatives, profitability initiatives, and supporting process improvements. The O&M Sr. Administrator is responsible for ensuring the team is trained and work ready, including having access to serviceable IT devices, Protective Equipment, and tools, that area accesses, and certifications are accurate and current. The O&M Sr. Administrator ensures all contract deliverables are met, contract inputs to the CO are timely and complete, and that customer concerns and observations are tracked and addressed in a timely fashion. The O&M Sr. Administrator will support and serve as back-up for the Sr. Administrator, Program Management Office. Must project a friendly and energetic attitude representing the BOSS contract focusing on customer satisfaction, and quality output of products.

    Duties and Responsibilities

    • Maintains confidential information and records as required for the organization.

    • Reviews weekly metrics and provides analysis/summary for weekly O&M internal and external review.

    • Assists division managers with development of reports, presentations, and training aids for use internally and externally.

    • Monitors and ensures submittal of DRDs for O&M are prepared and submitted IAW contract requirements

    • Must be proficient with Microsoft Office Suite: Able to create and manipulate Excel spreadsheets to include creation of pivot tables; build and manipulate PowerPoint presentations for executive level presentations; create and fill out forms, instructions, and procedures using Word.

    • Experience with CMMS programs such as Maximo desired. Demonstrated ability to research work orders in the system as required to answer questions and/or identify trends.

    • Responsible for scheduling topics for weekly meetings and ensuring POCs are aware and presentation aids ready for presentation/distribution internally and externally.

    • Able to run with special projects at the request of management with little or no oversight.

    • Composes effective correspondence, announcements, training materials, narrative summaries and reports, contract deliverables, briefings, proposals and recommendations and other written materials.

    • Proficiently researches information from internal, external or internet sources.

    • Self-starting; able to work independently with little or no supervision.

    • Communicates clearly and concisely, both orally and in writing. Able to set up, and deliver training as required by the Division Manager

    • Establishes and maintains cooperative working relationships.

    • Willingness to work and operate effectively in various locations on campus on a rotating basis to be closer to outlying teams supported.

    • Able to operate and perform simple troubleshooting of office equipment such as photocopier, fax machine, calculator, and department audio visual equipment.

    • Manage division budget for office supplies, events, and recognition program.

    • Manages the area access program for the division. Able to work effectively with shop supervisors and Facility POCs to ensure employee accesses are accurate and current.

    • Prepares and distributes On the Job Training (OJT) packages in support of shop supervisors and assists them with keeping their shop OJT program current and accurate.

    • Ensures expense reports are properly created, submitted, and managed to ensure timely reimbursement of employees for training, allowed supplies, travel, etc.

    • Must be customer oriented.

    • Must have a strong attention to detail approach to all assigned duties.

    Qualifications/Experience

    • Bachelor's degree in administration, business management, or equivalent, desired. Four years of increased, relevant work experience equivalent to or above the level of the executive assistant.

    • Must be proficient in Microsoft Office products including Microsoft Word, Excel, Power Point and have basic competency in Access.

    • Proficiency in Maximo is highly desirable or similar computer maintenance management platform.

    • Process change agent. Demonstrated evidence of working with minimal supervision.

    • Analytical skills to deconflict and research best business practices.

    • Knowledge of Kennedy Space Center, and base maintenance contracts, desired.

    • Must read, write, speak, and understand English.

    • Able to perform other assigned duties as needed to support
