Kelly's customer, a family-owned Law & Mediation firm, located in Saskatoon, SK, is looking for a permanent Part-Time Receptionist to join their team. This position has the potential to grow into a full-time position after 6 months to a year.
RESPONSIBILILTIES:
Answer high volume phone calls using MS Teams VOIP system, in a respectful and professional manner, transfer calls, and take messages accordingly.
Provide clerical/administrative support to teams.
Maintain a clean and tidy work environment so clients and visitors feel welcome in a friendly environment.
Build and maintain client relationships, by managing client's expectations and relaying information to clients in a timely manner.
Book client meetings, accept and process payments and respond to client's inquiries.
Receive incoming packages, send out mail, and facilitate the Court Runner receiving and dropping off documents.
Attending team building activities and staff meetings.
Build and maintain client relations by managing clients' expectations, relaying information to clients, booking client meetings, answering clients' questions, and accepting and processing payments.
Receiving packages, sending out mail, and facilitate the Court Runner receiving and dropping off documents.
Record payments on Lawmatics (training provided).
Use Microsoft 365 Suite of products for communication & correspondence.
Ability to answer basic questions about courses and training offered through their Mediation Academy.
Ability to answer basic questions about the legal and dispute resolution services offered by the company Collaborative Law & Mediation.
REQUIREMENTS:
Ability to work in a Professional, friendly, welcoming environment and able to make others feel at home.
Minimum 1 year experience in a receptionist role.
Greet visitors and clients in a polite, friendly, professional, welcoming manner.
Possess excellent written and verbal communication skills and exceptional interpersonal skills.
Technically savvy - proficient in MS Office Suite (Word, Excel, Outlook), as well as cloud-based systems such as Clio (training provided).
Experience with Clover Point of Sale, Lawmatics, and Clio Law firm cloud-based software is an asset.
Able to work efficiently and possess strong organizational skills.
Work independently in a team environment, in a fast-paced environment.
Ability to quickly adapt to company processes and systems, including MS Teams VIOP phone and cloud-based programs.
Provide clerical and administrative support to the team.
Work with efficiency and possess strong attention to detail skills
Part-Time Permanent Position with a dynamic organization.
Work Monday - Friday from 12:30pm - 5:30pm, in a welcoming, dynamic work environment.
$18.00 per hour, plus paid parking spot.
3 weeks' vacation and Benefits, and enrollment into company pension plan after 3 months probationary period.
Potential to go Full-Time after 6 months to 1 year.
