Job Summary
FD Thomas is seeking a Project Manager Assistant (PMA) to assist the project manager by contributing to the planning and execution of a project. You will work closely with the team to ensure the project runs smoothly from start to finish.

Duties and Responsibilities:
Contract Administration and New Job Set up
Assist with Contract Review as required
Creates and distributes project management meeting minutes and action items.
Purchasing and inventory of office supplies.
Time Tracking and Payroll uploads
Maintains and organizes various project documentation, including Purchase Orders, T&M Tallying/Compiling, and Productivity Tracking for Payroll Upload.
Maintain an accurate and up-to-date project files
Scan/Attach all pertinent docs to Viewpoint (contracts, invoices, subcontracts, audits, forms, submittals, reports)
Manages the billing process and coordinates with project management to ensure proper paperwork, monthly payment applications, and retention payments are processed timely and accurately.
New hire processing for field personnel in collaboration with the corporate HR department, including Union Dispatches, Pre-Placement Testing, Safety Orientations, Etc.
Update Monthly projections as directed by PM's
Assembly & dissemination of submittals and safety plans in collaboration with the project manager.
Assist with PM as directed
RFI's - Requests for information
PCO pricing, both lump sum and T&M
Assist PM with project schedule updates
All other tasks as directed
Set up Projects in Vista
Create Job Files
Order Insurance, Bonds, etc.
Miscellaneous assistance in all administrative processes as related and as requested by PM
Manage multiple priority meetings including all deadlines in a complete and timely manner

Key Requirements, Education, and Experience:
High School diploma or equivalent, AA Degree Preferred
Computer proficient with MS Office applications (Excel, Windows, Outlook, etc.)
3 years' experience in similar position or college credit equivalent
Must be able to take direction and complete projects as assigned
Able to use general office equipment (Phone, Fax, Copier, Scanner)
Ability to learn new software, processes, and procedures. Must have good solid math abilities in basic calculations.
Good math skills with basic computations such as add, subtract, multiple, divide, etc.
Excellent customer service and problem-solving skills in a professional environment
Must be able to multi-task, organize and prioritize work with minimal supervision
Remain calm in high stress environments while multi-tasking
Courteous, personable, and professional manner
Self-motivated, able to work without direct supervision and problem-solve effectively
