The School of Pharmacy's Office of Professional Pharmacy Education has an outstanding opportunity for a Program Manager of Onboarding and Compliance . This individual is responsible for assuring students have met and maintain all program compliance requirements and onboarding processes are completed successfully and on time for all students to participate in experiences at affiliated practice sites as required in the curriculum. Responsibilities for this position include developing and managing efficient and accurate processes in accordance with affiliated site onboarding requirements; establishing internal policies and procedures for compliance and onboarding in collaboration with students and other program staff; performing process improvement to meet established performance metrics; and strategically managing communications with students, staff, and site onboarding coordinators. This individual reports to the Director of Experiential Education Operations and works closely with other program managers and staff in the Office of Professional Pharmacy Education.

    DUTIES AND RESPONSIBILITIES

    Program Operations - 80% FTE

    • Manage the process of onboarding for students completing experiences at affiliate practice sites during their Introductory Pharmacy Practice Experience (IPPE), Advanced Pharmacy Practice Experience (APPE), and Wednesdays in Practice (WIP) experiences. Will monitor all relevant requirements including prerequisite records, including immunization status, first aid/CPR certification, submission of forms, and attendance at required orientations.
    • Develop and manage the PharmD student onboarding process including both experiential education (EE) and incoming students into the program.
    • Serve as content expert for onboarding management platforms, including CastleBranch and Clinical Placements NW (CPNW).
    • Responsible for the successful onboarding of students into practice sites in a timely manner. Work with students and affiliate sites to ensure all the requirements are met on time for scheduled practice experiences.
    • Responsible for completion of site-specific paperwork to support IPPE, APPE, and WIP experiences
    • Manage and assure compliance activities for students are completed including scheduling CPR and First Aid trainings.
    • Use CastleBranch, CORE, and CPNW with full functionality to generate relevant reports and coordinate student account creation, monitoring, maintenance, archival, and deletion.
    • Develop compliance and onboarding timelines and serve as the accountable staff member in charge of maintaining these timelines
    • Maintain compliance and onboarding-related policies and procedures to remain in compliance with affiliation agreements and accreditation standards.
    • Manage process of developing, maintaining, and updating Affiliation Agreements and Memoranda of Understanding, working with experiential site representatives and the Attorney General's UW office as needed.
    • Maintain accurate record of site onboarding requirements for student onboarding processes
    • Participate in strategic planning and implementation of relevant student and preceptor events such as mock interviews, standardized assessments, and preceptor retreats.
    • Collaborate with Program Managers on maintaining relationships with site partners, troubleshooting student challenges, and optimizing program operations
    • Perform maintenance and annual site updates with regard to onboarding requirements and contacts
    • Conduct annual program assessment to identify opportunities for program improvement and a plan for implementing necessary changes

    Advising and Support - 20% FTE

    • Primary interface with students, UW health science immunization program, and onboarding coordinators at practice sites for Experiential Education onboarding and compliance related matters.
    • Assure students have updated information about site onboarding requirements and provide support to answer their questions
    • Primary liaison for onboarding management platforms such as CastleBranch and CPNW
    • Assist with coordinating site visits for EE team members and attend, as needed, to promote optimal compliance and onboarding processes
    • Develop strategic communication and coordinate messaging with students in a timely and consistent manner for compliance and onboarding assignments across WIP, IPPE, APPE

    MINIMUM REQUIREMENTS

    • Bachelor's Degree in Education, Humanities, Human Resources, Social Work, Social Sciences, Life Sciences, Business, Communications, or related fields
    • 1 year of experience in program management or project management

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS

    • Strong teamwork orientation and focus; demonstrated experience in participating on high functioning and productive teams
    • Demonstrated proficiency in verbal and written communication with a variety of audiences
    • Demonstrated ability to think creatively; solve problems efficiently; and adapt to an ever changing (educational or health care) environment
    • Proficiency with office productivity software such as Microsoft Office (including Excel, SharePoint, OneDrive, Forms, PowerPoint, etc.)

    DESIRED QUALIFICATIONS

    • 2-3 years of experience in program management or project management
    • Experience and/or training in human resources, including experience in assessing and improving learning or work environments
    • Experience in onboarding and compliance in a healthcare setting
    • Experience with CastleBranch, CPNW, or similar onboarding platforms
    • Experience with process improvement

    CONDITIONS OF EMPLOYMENT

    • Standard schedule is Monday through Friday, 8am - 5pm, with some flexibility for adjustment of working hours. This position may require occasional evening and weekend work.
