  • Overview

    Job Summary: The Payroll Tax Specialist is responsible for ensuring payroll tax accuracy and maintaining compliance with tax regulations for all Fairview Health Services entities engaging in payroll activities. Maintains strong internal and external client relationships by addressing questions and escalations with accuracy, a sense of urgency, and professionalism. Demonstrates strong independent problem-solving skills.

    • Manages and is accountable for on-time execution of tax responsibilities, including project deliverables.

    • Coordinates with key business partners to review and monitor cross-departmental process impact.

    • Reviews and analyzes payroll tax procedures; applies continuous improvement methods to streamline processes and mitigate risk.

    • Subject matter expert for the organization regarding payroll tax information.

    • Provide education and explanation to coworkers to assist with spreading knowledge regarding payroll tax and other regulations.

    • Work with federal, state, and local agencies as well as third party software to resolve escalations.

    • Oversight of internal and external compliance requirements, regulations and confidentiality provisions.

    • Overall maintenance and development of procedures and policies related to the payroll tax department with understanding of their correlation to other cross-department impacts.

    • Assure all client associated Federal, State and Local payroll tax liabilities and associated regulatory tax filings are completed 100% accurate and on time.

    • Oversight and collaborative relationship management with 3rd party payroll tax system provider to insure long-term stability of solution as it relates to our business.

    • Ensures multi-jurisdiction employee payroll compliance reporting requirements are met for all applicable states

    • Ensures timely and accurate submission of withholdings from employee pay and for employer-owed payroll tax

    Responsibilities Job Description

    • Knowledge of Local State and Federal driven requirements including payroll and employment lax law.

    • Produces work with minimal errors and can assist with detail level review of other's work.

    • Knowledge of garnishments, levies, and death claims.

    Role Expectations

    Lead the overpayment wage and bonus collection process.

    Liaison with third party collection vendor

    Process garnishments and levies for employee.

    Process Death Claims and adoption assistance.

    Ensures timely and accurate preparation of payroll tax returns including but not limited to 941's, W2's, W2C's, state and local payroll and employment tax reporting.

    Qualifications

    Minimum Qualifications to Fulfill Job Responsibilities:

    Required

    Education

    • High School Diploma or GED

    Experience

    • Minimum of 2 years of payroll tax reporting experience.

    • Adaptability to frequent change

    • Proficiency in Microsoft Office Suite

    License/Certification/Registration

    • n/a

    Preferred

    Education

    • 2 year degree in Human Resources, Accounting, Tax or related field

    Experience

    • 4 years of payroll experience

    • Experience in a complex organization

    • Experience in a union environment

    • Lawson and/or Kronos knowledge

    License/Certification/Registration

    • FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional)
