  • Aston Carter's client is seeking and Administrative Assistant to join their team!

    Key Responsibilities

    Customer Service

    • Answer telephone calls

    • Answer counter inquiries

    • Answer customer emails

    Repairs

    • Receive and process repairs

    • Ticket/assign to technician

    • Send estimates when required

    • Ship equipment back to customer

    • Create FSB (billing) when applicable

    • Create Service Bench for warranty repairs

    RMA'S (return merchandise authorization):

    • Obtain RMA for repairs

    • Obtain customs documents

    • Obtain RMA for customer's and project's equipment for credit or exchange

    Invoicing

    • Create FSB for Demand Services

    • Create customized invoices for projects

    • Submit project invoices to customers

    • Submit invoices for maintenance contracts to customers

    Purchasing

    • Obtain quotes from Vendors

    • Create requisitions

    • Follow-up on delivery

    • Receive material and create GR in SAP

    • Distribute material as required

    • Maintain PO list

    Accounts Payable

    • Code invoices, get approval & send to A/P for payment

    • Assist accounts payable when required

    Accounts Receivable

    • Assist accounts receivable when required

    • Assist customers with invoicing problems & questions

    Service Contracts

    • Maintain contract files

    • Follow-up on maintenance contract renewals with Service Manager

    • Prepare renewals when needed

    • Submit invoices to customers

    • Create Dynamics incidents for calls & repairs

    Office/Facilities:

    • Take care of the day to day needs for the office

    • Order building supplies

    • Create Receipts in SAP for items received

    • Create and maintain all necessary forms required and make them available to all other employees

    • Order & maintain office equipment

    • Maintain all files (customers, brochures, parts orders, equipment orders, etc.)

    • Prepare & send quotes to customers

    • Create files for orders received

    • Process FSB

    • Ordering replacement DOA customer's equipment

    • Create warranty claims for repairs when applicable

    • Assist all the sales people when required

    • Order business cards

    • Orders equipment brochures & specification sheets

    • Prepare binders for customers

    • Order Demo Equipment

    Assist various other departments

    • Assist project Management when required

    • Assist service manager when required, provide information

    • Assist Finance team when required

    Human Resources

    • Supply forms to employees

    • Provide information to employees

    Additional Skills & Qualifications

    Must Haves

    • 3+ years of experience (administration, order management, parts technician, service dispatcher, dispatcher)

    • Microsoft suite experience

    • Excel intermediate

    Nice to Have

    • SAP experience

    • Microsoft Dynamics experience

    • Education (Business degree would be preferred)

    • Industry: technology preference, service industry, IT, transportation industry
