    Position Description:

    This Operations Coordinator position is an administrative position supporting plant operations. He/she will work directly with an existing Operations Coordinator with some key focus areas including; Shipping, Daily Reporting, and Inventory. With support from office staff, this role reports directly to the Plant Manager. The individual must be adept at anticipating needs, taking initiative, problem solving, and coordination with the corporate office.

    Administrative Assistant for Operations Major Areas of Responsibility Include:

    Shipping (50%)

    •Printing BOLs/Picking slips.

    •Reconciling BOLs and doing ship all function in Sage.

    •Communicating BOLs with AR Department for invoicing.

    •Signing trucks in and out of the plant for outgoing shipments.

    Daily Reporting (15%)

    •Assists with generating weekly production schedule and recording actual production.

    •Communicates and coordinates customer order fulfillment with warehouse and packaging personnel.

    •Review daily bagging reports and update finished goods inventory (Build assemblies).

    •Inventory Cycle Counts (15%)

    •Support the finance department on all weekly and month end close procedures including but not limited to physical inventory,

    AP Invoice Management (5%)

    •Code invoices and communicate to AP department

    •Scan picking slips to Corp share folder

    •Purchase Order Receipts (5%)

    •Receipt Non-Stock supplies

    •Receipt Raw material (Sawdust)

    •Receipt Packaging Material

    Human Resources Coordination (5%)

    •Work with senior HR staff on all initiatives including but not limited to: Onsite HR support, New Employee Onboarding support,

    Payroll support, Timeclock support, general HR recordkeeping, onsite benefits coordination.

    Other Administrative Support (5%)

    • Provide support to PM and safety program

    • Update daily reports as assigned

    • Postal mail and daily package distribution

    Administrative Assistant for Operations Primary Objectives:

    • Ensure system updates are made across various platforms for accurate reporting and accounting daily.

    • Act as key support role for Plant Manager as it relates to office functions supporting the plant operations.

    • Coordinate activities and initiatives with the corporate office.

    Administrative Assistant for Operations Knowledge, Skills, and Abilities

    • Above average skills in communication both oral and written.

    • Above average skills in organization and attention to detail.

    • Demonstrates ability to work as a teamwork and effectively manage through others.

    • Demonstrates the ability to work under pressure and multi-task.

    • Previous experience in manufacturing office and accounting preferred.

    • Computer skills including Microsoft Word & Excel, SAGE experience preferred.
