    We are seeking a highly organized and proactive individual to join our team as an Executive Operational Assistant. This role is a unique blend of executive support, operational efficiency, and strategic thinking. You will be a trusted advisor and right-hand person to the Global Head of Customer Operations, ensuring smooth daily operations, managing complex projects, and anticipating needs before they arise.

    In this role, the Executive Operational Assistant will provide organizational governance, management of strategic initiatives, and organizational implementation planning for improved efficiency and productivity across the Global Ford Pro Intelligence/Charging/FM/ Operations. This role's primary goal will be to bridge the gaps within the departments, streamline communication on objectives/goals and support organizational reporting and tracking of key initiatives and projects. This role will also support cross-functional team members to remain on task and align to the organizational visions and goals.

    The primary responsibilities for this position include but are not limited to

    • Drive consistency across Ford Pro Intelligence and Ford Pro Charging organizations for operational efficiency

    • Contribute to the productivity of corporate governance, planning, agenda, notes, and execution of action items, as well as distilling discussions and agreements from team meetings into strategic plans

    • Manage calendars, schedule meetings, and prioritize appointments.

    • Prepare agendas, materials, and presentations for meetings and events.

    • Handle correspondence, emails, and phone calls, acting as a primary point of contact.

    • Travel arrangements and itinerary management.

    • Research and gather information as needed.

    • Always maintain confidentiality and discretion.

    • Manage and prioritize tasks, projects, and deadlines.

    • Assist with budget management and expense reporting.

    • Develop and implement systems and processes to streamline operations.

    • Manage office supplies, equipment, and facilities.

    • Coordinate with other departments to ensure smooth workflow.

    • Proactively identify and address potential issues.

    • Develop and implement strategic initiatives and projects.

    • Analyze data and provide insights to.

    • Manage special projects and initiatives.

    • Identify and evaluate new opportunities.

    • Build and maintain relationships with key stakeholders and leader's direct reports

    • Proactively anticipate and address the needs of the leader and the organization.

    • Support building out of capabilities and inputs to track department initiatives

    • Develop meaningful and lasting relationships with partners for optimized systems integration with internal teams for on-going metrics report creation, dashboard design, and deployment.

    • Communications and messaging, internal and external while acting as a central point of contact and communication interface between internal and external leaders/teams. (Sales, Finance, Marketing, Tech, etc.)

    • Adept at capturing leadership vision and translating it into actionable tasks, understanding to optimize time, communications, and productivity for everyone in the organization.

    • Program and/or process management support for Level 1 and Level 2 leaders

    • Provide change management support to critical operational efforts.

    • Lead and manage key strategic projects from initiation to completion, working closely with cross-functional teams.

    The minimum requirements we seek

    • Bachelor's degree
