  • Description We are offering a contract-to-hire employment opportunity for an Office Manager in Newport News, Virginia. The role involves overseeing the administrative operations of our office and managing various tasks such as invoice handling, payroll processing, accounts receivable and payable, and data entry.

    Responsibilities

    • Oversee the daily operations of the office to ensure smooth functioning.

    • Manage invoice handling, ensuring all invoices are accurately processed and paid in a timely manner.

    • Process both weekly and monthly payroll for staff, including commissioned staff.

    • Handle accounts receivable and payable duties to ensure all financial transactions are accurately recorded.

    • Pay bills on time and maintain a record of all transactions.

    • Enter data into spreadsheets for record keeping and analysis.

    • Use software tools such as QBO, Square, and Excel to manage and analyze data.

    • Address any issues or inquiries related to accounting functions.

    • Perform billing functions, ensuring all bills are accurate and sent out on time.

    • Provide excellent customer service, responding to inquiries and resolving any issues promptly. Requirements - Minimum of 3 years of experience in a similar role as an Office Manager

    • Proficiency in Accounting Software Systems

    • Experience with ADP - Financial Services

    • Proficiency in Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

    • Knowledge of Accounting Functions

    • Experience in handling Accounts Payable (AP) and Accounts Receivable (AR)

    • Familiarity with Billing Functions

    • Excellent Customer Service skills

    • Ability to multitask, prioritize, and manage time efficiently

    • Excellent verbal and written communication skills

    • Strong decision-making skills and ability to problem solve

    • High attention to detail and accuracy

    • Ability to work independently and as part of a team

    • Excellent organizational and planning skills.
