  • Description We are offering a contract-to-hire employment opportunity for an Office Manager in the Wholesale Distribution industry, based in Miami, Florida. The role demands a highly organized individual who will ensure the smooth operation of the office and oversee administrative support.

    Responsibilities

    • Ensure the smooth operation of the office by supporting visitors, handling incoming calls, and managing mail and express deliveries.

    • Perform general administrative duties such as photocopying, scanning, filing, data entry, and mailing.

    • Coordinate activities across the company to maintain efficiency and compliance with company policy.

    • Manage agendas, travel plans, and appointments for upper management.

    • Create and update databases and records for financial information, personnel, and other data.

    • Monitor and replenish office supplies as necessary to avoid interruptions in standard front office procedures.

    • Prepare and submit reports, proposals, and presentations as needed.

    • Provide backup support to Logistics, Trade Operations, and Finance departments in maintaining workflow.

    • Liaise with internal and external stakeholders to handle requests, queries, and relay accurate information.

    • Prepare weekly, monthly, and annual reports using Excel.

    • Carry out other relevant duties as assigned.

    Skills required for this role include Administrative Assistance, Administrative Office duties, proficiency in Excel Formulas, and experience with CA-Scheduler. Requirements

    • Proven experience in Administrative Assistance and Office Management.

    • Proficient in Microsoft Office Suite, particularly advanced Excel Formulas.

    • Familiarity with CA-Scheduler or similar scheduling software.

    • Excellent organizational and multitasking abilities.

    • Strong interpersonal and communication skills.

    • Ability to handle confidential information.

    • Strong problem-solving skills.

    • Ability to work independently and as part of a team.

    • Attention to detail and accuracy.

    • Experience in the Wholesale Distribution industry would be advantageous.

    • Ability to prioritize tasks and manage time effectively.

    • Demonstrated leadership skills.
