    Overview

    This is an Onsite position based in our Koreatown offices

    Purpose Statement/Position Summary: The Office Manager II is responsible for management, supervision, and oversight of the daily clerical and administrative office duties in department. Acts as the Office Manager supervising administrative assistants and other personnel as assigned to ensure that support for a broad range of functions is available to senior leadership team. Responsible for staff development, facilities management, materials management, coordinating paperwork and access for onboarding administrative new hires and service excellence.

    Minimum Qualifications/Work Experience: 3 or more years of experience in a supervisory or office manager capacity preferred or equivalent combination of experience and education. 1 or more years of experience in a medical office/clinic setting preferred.     Primary areas of responsibility for this role include heavy oversight of operational logistics, physical space, and department activities, such as:

    • Submitting work orders with facilities/information services.

    • Facilitating parking needs for both CHLA campus and offsite location.

    • Troubleshooting office/clinic equipment.

    • Managing HR functions including department new hire orientation, onboarding/offboarding, submission of PeopleSoft ePAF transactions and job requisitions, coordination of the performance appraisal process, interpretation and implementation of CHLA and department-specific policies and procedures, compliance with hospital health requirements (i.e. N95 Fit-Testing, TB Testing, and Flu/COVID Vaccinations) and mandatory CHLA trainings, supervising timekeeping functions for exempt clinical staff, overseeing employee personnel files and managing employee data spreadsheets, and interfacing with Payroll and HR Teams (Leader Resource Center, LOA, Compensation, HR Technology/Data Analytics, and Talent Acquisition), as needed.

    • Overseeing environment of care and leading clinic tours related to regulatory/accreditation agencies, Infection Prevention & Control, Risk Assessment, Quality Improvement & Patient Safety, Infection Prevention & Control, and Safety & Security.

    • Coordinating life/safety procedures including emergency response protocols, training and drills, floor warden/Department Disaster Leader (DDL) program, and updating the department's Emergency Action Plan (EAP) and Business Continuity Plan (BCP), as needed.

    • Assist with the implementation of hospital-wide events and activities for department's off-site location, such as hospital breakfast deliveries, benefits open enrollment information sessions, department DEI events, etc.

    Education/Licensure/Certification: High School Diploma or equivalent required. Bachelor's Degree preferred.

    Pay Scale Information

    $68,432.00-$123,053.00

The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
