    Job Description

    As an AP Clerk you will support various functions including operations, sales, service parts, and customer service. This is a key position contributing to the location's growth and profitability due to the high level of activity and customer interaction.

    Responsibilities

    • Support day-to-day processes to ensure accurate invoicing of customers for goods and services.

    • Close job orders and manage inventory adjustments and transfers.

    • Conduct job analysis reporting on efficiency performance and inventory control.

    • Review daily receiving audit for receivables.

    • Assist with service and warranty jobs by entering manufacturing orders, creating shop orders, building BOMs, scheduling, invoicing, and closing shop orders.

    • Manage accounts payable by approving invoices, entering invoices, and reconciling credit card statements.

    • Answer incoming phone calls and provide assistance where possible, including supporting customer service with parts calls, entry of parts orders into the operating system, and updating customers on order status.

    • Issue vendor purchase order requisitions and approve vendor invoices.

    • Provide general support to the operations and sales staff.

    • Coordinate delivery drivers' hotel rooms, expense reports, fuel tickets, car rentals, and timecards.

    • Provide support to the outside sales teams as needed.

    • Support marketing in customer mailings relative to the location's needs.

    • Assist with human resource functions including new hires, terminations, and active employee paperwork processing.

    • Serve as backup for labor reporting and time off recordkeeping for installation technicians.

    • Ensure customer satisfaction and provide dependable service.

    Essential Skills

    • Administrative support

    • Accounts payable

    • Customer service

    • Experience in an office setting with at least 2 years in customer service

    • 2+ years experience with accounts payable, including invoicing and purchase orders

    • 2+ years experience with data entry

    • Proficiency in handling multiple tasks simultaneously

    Additional Skills & Qualifications

    • Experience with administrative duties such as scheduling maintenance needs and taking phone calls

    Work Environment

    The role is onsite, with working hours from Monday to Friday, 8:00 AM to 4:30 PM.

    Pay and Benefits

    The pay range for this position is $22.00 - $25.00
