Job Title: Medical Education Coordinator
Department: Neurology
Location: Hospital of the University of Pennsylvania- 3400 Spruce St
Hours: Full Time
The Education Scheduling Coordinator is an integral member of the education team in the Department of Neurology supporting 60 residents and 40 fellows. Reporting to the Director of Academic Affairs and Education, this position works with and supports the residency and fellowship program coordinators, trainees and faculty. In addition, this role supports the clerkship director and undergraduate medical clerkship students.A successful candidate is highly organized, has strong written and verbal communication skills, is comfortable managing multiple projects simultaneously, professional and customer service oriented, cand a team player. Experience with online media platforms (Zoom and Teams), Microsoft Office suite and database management preferred.
This position description encompasses the accountabilities and required skills to support the daily operations of the Department Education Programs. Under direction from the Education Director and the Physician Program Directors, the Education Coordinator is responsible for coordinating the day to day operations of the Department Education Programs. The individual is responsible for smooth flow of planning, preparation and execution of activities relating to resident and fellow recruitment, education, training and wellness. The Education Coordinator will serve as a primary resource for all house staff in the Department as well as the teaching faculty as it relates to their educational responsibilities. This position reports directly to the Department Director of Medical Education and provides support for the efficient and effective administration for all Department Education Programs.
Coordinates daily education office administrative operations for the GME Programs under the direction of the Department Education Director.
This position requires collaboration with the education team, GME office, subspecialty program directors and other department personnel.
Facilitates equipment ordering, trainee reimbursement process, professionally related education expenditures and division related invoices.
Coordinates functions relating to house staff on-boarding, licensing, orientation and trainings, rotations and compliance.
Coordinates Graduation and year end and alumni reporting for Residents and Fellows.
Facilitate processes relating to resident recruitment in support of the Recruitment Selection Chair.
Set up Conferences, evaluations and personalized teaching - Residency Programs.
Oversee the collection of accurate files on residents, including verifications, learning portfolios and items for CCC meetings, PEC meetings and SAR forms.
Maintains proficiency in Medical Education databases, ensures data is complete, accurate and up to date; Generates various reports as requested.
Coordinates rotators and observers process for incoming and outgoing to Penn Medicine.
Various administrative tasks related to GME programs, as directed by the department education director.
Residency Education Program:
Daily morning and lunchtime conference set-up including food pick up and set up, monitoring and uploading Mediasite recordings
Supporting residency program recruitment, orientation, graduation and other milestone events for the department.
Entering and maintaining resident clinical rotation schedules in MedHub
Support and track resident evaluations in MedHub and working with faculty to ensure submission is timely
Maintaining attending physician call schedule in Qgenda and ensuring accuracy and communicate changes appropriately
Creation of monthly rotation schedules utilizing Qgenda
Communication of clinical rotation schedules to Penn affiliated sites (CHOP & VA)
Sending out and confirming resident and attending calendars, outpatient, ambulatory and elective schedules
Assists Residency Coordinator with other residency program duties as needed/assigned
Undergraduate Medical Education Program:
Proctoring shelf exams at Perelman School of Medicine
Technology support as needed
Bachelor of Arts or Science (Required) Education Specialization: Business Administration or Healthcare
3+ years Administrative (assistant/coordinator), and/or Education or Academics experience.
