    Job Description

    Administrative Support

    • Provide general administrative support for the AA business, as required by the Internal Operations Supervisor.

    • Support internal stakeholders with HCP event management including contracting, FMV processing, PRISM filing, presentation submission and review though VEEVA and booking travel arrangements.

    • Collaborate with teams to process, file, reconcile and ensure delivery of at-no-charge product.

    • Upon request, manage creation, administration and receipt of Master Service Agreements, vendor contracts, purchase orders and invoices for AA.

    • Coordinate the logistics of meetings, events, and workshops, as assigned.

    • Other tasks including onboarding new team members

    Communication

    • Facilitate effective communication across departments to ensure alignment on operational activities

    • Handle inquiries and resolve issues related to operational processes

    • Collaborate with other departments on cross functional tasks and reporting on ongoing projects.

    Data Management

    • Maintain accurate records and databases (VEEVA, PRISM, SAP, MSTeams..)

    • Prepare regular updates on project status and key metrics

    • Organizing and maintain electronic filing systems and maintaining administrative procedures.

    Compliance and Quality Assurance

    • Ensure that all operations comply with Compliance standards and company policies.

    Qualifications

    Education/Experience:

    • Post-secondary education or a bachelor's degree is preferred

    • College Diploma/University Degree or Related Post-Secondary Education.

    • 1-3 years of related experience.

    Skills

    • Technical savviness and comfort navigating through multiple systems.

    • Experience working in a team-oriented, high team engagement and collaborative environment.

    • Experience with various Microsoft 365 Applications (Word, Excel, Outlook, Teams, etc.)

    • Experience working in a team-oriented, high team engagement and collaborative environment is a must.

    • Strong service orientation and experience in customer service or professional services environment.

    • Experience in the pharmaceutical or medical aesthetics industry is a strong asset.

    • Willingness to learn new functions and try new tasks as assigned

    • Ability to take and process feedback constructively

    • Understanding of the customer experience and have a desire to raise the bar to ensure every interaction with AA (internal or external) is the best it can be
