    We are offering a long-term contract employment opportunity for a Grant Receivable Clerk in SCHENECTADY, New York. The role primarily involves managing and maintaining financial information pertinent to our grant applications and submissions, in accordance with accounting standards and internal procedures. This position is an integral part of our finance team, requiring prior grant experience OR experience with non-profit accounting!

    Responsibilities

    • Manage the preparation and submission of backup and claim forms for grant applications

    • Collaborate with the Finance Department to compile monthly expenditure data based on grant-specific allocations and distribution codes

    • Download, rename, and annotate invoices from our procurement system and credit card portal for accurate record-keeping

    • Ensure all journal entries for the month are accompanied by necessary backup and explanations

    • Oversee the preparation of Claim Form and track advance payment recoupment

    • Generate Claim Budget Summary and initiate file amendments or budget revisions when required

    • Generate and explain Voucher Credits reports

    • Reconcile backup data to detailed report for each grant

    • Provide proof of payment via bank records such as cancelled check images or banking registers

    • Proactively obtain permission for expenses such as travel reimbursement and equipment purchases exceeding the General Services Administration rates.

    Requirements - Proficiency in Grant Accounting and Grant Management

    • Demonstrable knowledge of Accounting Functions and Auditing

    • Experience with Budget Processes and Capital Management

    • Familiarity with Cash Activity procedures

    • Understanding of Government Grants and Federal Grant regulations

    • Ability to comply with regulatory standards and ethical practices in accounting

    • Strong analytical skills and attention to detail

    • Excellent oral and written communication skills

    • Proficient in the use of accounting software and applications

    • Ability to work independently and as a part of a team

    • Strong organizational skills and ability to meet deadlines

    • Bachelor's degree in Accounting, Finance, or a related field preferred

    • Relevant professional certification, such as CPA, is desirable.
