  • Description We are in search of a Facilities Coordinator to join our team located in Toms River, New Jersey. This role centers around Facilities Management, with a focus on maintaining a smooth and efficient working environment. As a Facilities Coordinator, you will be expected to handle a variety of tasks, from managing office supplies to coordinating with building management and janitorial staff. This position offers a long-term contract employment opportunity.

    Responsibilities

    • Overseeing and managing the upkeep of office supplies, including checking the status of coffee machines

    • Conducting regular inspections of the office space to ensure it's well-maintained and functioning as per the outlined standards

    • Accurately processing work orders and purchase orders

    • Responding promptly and efficiently to all incoming items that need attention

    • Coordinating effectively with building management and janitorial staff as required

    • Ensuring a high level of customer service by addressing inquiries or complaints from clients or co-workers

    • Maintaining accurate records, including work orders, proposals, and department files

    • Collaborating with vendors, including training them on work order and billing procedures

    • Processing invoices and ensuring correct cost center coding

    • Ensuring timely and quality service delivery to clients, following up to ensure customer satisfaction

    • Utilizing Microsoft Office and other PC systems for work order system, email, and training

    • Assisting with process and procedure training as needed Requirements - Demonstrated experience in Facilities Management

    • Proficiency in using Microsoft Office Suites

    • Ability to perform Ad Hoc Financial tasks

    • Experience in handling Invoice Review and Billing processes

    • Strong background in Customer Service for ensuring Customer Satisfaction

    • Capacity to deal with Complaints and Resolve Issues in accordance with Company Policy

    • Excellent knowledge of Principles related to Facilities Management

    • Experience working with Vendors and managing Paperwork

    • Proficiency in Check Processing and coding

    • Good understanding of PC OS

    • Ability to create and manage Work Orders

    • Strong Analytical Skills

    • Excellent Training skills, capable of instructing others on Procedures and use of Machinery

    • Commitment to delivering Quality Service
