  • Job Title: Executive Assistant

    Job Description

    The Executive Assistant will provide primary and critical support to the efficient and effective operations of the Office of the CEO. This role represents the CEO, maintaining a strategic understanding of company priorities, and ensuring the CEO's time is optimally used. This role requires navigating and engaging with a wide array of contacts, ensuring issues are escalated appropriately, delegated correctly, or resolved independently. The Executive Assistant must maintain the highest levels of trust, loyalty, confidentiality, and discretion.

    Responsibilities

    • Time Management Optimization: Maintain a comprehensive understanding of the CEO's schedule, ensuring events optimize the CEO's time and include preparation and downtime.

    • Initial Contact Point: Develop relationships across a broad network of stakeholders and act as the first point of contact for scheduling with the CEO.

    • Daily Schedule Management: Protect and align the CEO's schedule with priorities and criticality.

    • Travel Coordination: Ensure seamless travel experiences, anticipating the CEO's needs for event preparation and future scheduling.

    • Preparation and Context: Ensure the CEO is effectively prepared for scheduled events by preparing materials and summaries.

    • Leadership Team Coordination: Coordinate the CEO and Executive Leadership Team (ELT) management routines and streamline management operations.

    • Administrative Assistance: Assist with meeting coordination, event planning, business expenses, and other administrative duties.

    • CEO Messaging/Communications Advisor: Provide quality assurance for the CEO's communications, presentations, and talking points.

    • Stakeholder/Network Management: Support the CEO in establishing and maintaining strong relationships across a broad network of internal and external contacts.

    • Proactive Problem Resolution: Identify and resolve issues independently to support the CEO's plans.

    • Safety: Promote and adhere to the company's Safety Manual and report all safety concerns.

    • Compliance: Maintain knowledge of and comply with all company policies, procedures, and applicable laws.

    • Communication: Review and apply corporate and team-specific communications.

    • Continuous Improvement: Identify and apply improvement opportunities related to work practices and tools.

    • Fiscal Accountability: Adhere to budget and expense policies and care for corporate property, tools, and equipment.

    • Cross Functional Working Relationships: Work collaboratively with peers and other work groups, promoting positive working relationships.

    Essential Skills

    • High School diploma/GED

    • At least two (2) years of administrative experience at the executive level

    • Excellent interpersonal, verbal, and written communication skills

    • High degree of confidentiality

    • Tact and sensitivity in communication

    • Proficiency with Outlook, Word, PowerPoint, Excel, HR, and expense-reporting systems

    • Ability to work independently with a sense of urgency

    • Exceptional organizational skills, problem-solving skills, and flexibility in changing priorities

    Additional Skills & Qualifications

    • Two to Five years of administrative experience at the executive level

    • Bachelor's degree

    • Board material processing experience

    • Familiarity with general budget procedures

    • Working knowledge of or familiarity with Asset Suite, PeopleSoft, Microsoft Productivity Tools

    • Basic knowledge of accounting principles related to vendor payments and contracts

    Work Environment

    The work environment is reserved and professional. The team consists of five members, including union EAs supporting VPs and the CEO EA. The position primarily requires in-office work from 7-4, with occasional remote work. The culture values long-term commitment, with most people having been with the company for years.     Pay and Benefits

    The pay range for this position is $100000.00 - $114000.00

    Benefits:Sick time and vacation time Sick time is earned (2 weeks) Vacation time (40, 104 hrs or 156 hrs) this is negotiated

    OPPD does not offer bonuses.
