Executive Assistant - Full TimePOSITION SUMMARY:
Responsibilities for the Executive Assistant include, but are not limited to:
- Coordinate provider credentialing applications for third-party payer contracts, including Medicare/Medicaid.
- Providing support for other special projects as required.
- Provide administrative/secretarial support to for the CVH Clinic division and performs diversified administrative and secretarial functions.
POSITION REQUIREMENTS:
Minimum Education- High School Diploma or equivalent education/experience.
Minimum Work Experience- Five years executive level support.
- Minimum 2-3 years office experience, preferably in healthcare setting.
- Typing and computer literacy including creation of spreadsheets.
- Reading and writing skills, organizing and filing, professional phone etiquette.
- Communicate effectively in English.
POSITION ESSENTIAL FUNCTIONS:
Insurance Contracting/Credentialing- Re-credentials physician with all previously contracted insurance companies.
- Assures that all provider IDs are current and linked to billing company and current location,
- Credentials physicians for new insurance contracts.
- Updates insurance contracts for new locations.
- Provides updated spreadsheet identifying contracted insurance companies.
- Reviews insurance contracts at renewal date.
- Maintain contract and credentialing matrix to ensure physicians remain active.
- Uses payor portals, CAQH and additional credentialing software to assist in keeping provider information current.
Provider and Facility Credentials- Provider and Facility Credentials: maintain files and spreadsheet to coordinate all provider credentialing for payor contracts. Track and process payments for provider/facility licenses, malpractice, DEA, etc.
- Assist provider and office supervisors and managers with above-referenced renewals and licensures.
Practice Manager/Director Support- Provide support to create staffing schedules and provider schedules.
- Builds, maintains and verifies provider schedule in Epic.
- Assists with review of time off requests and obtaining coverage.
- Assists director/managers/supervisors with month end reports and various reports throughout the month.
- Assists director/managers/supervisors with confidential files and general filing.
- Provides general clerical and administrative support to director/managers/supervisors.
- Calculates, maintains and prepares daily/monthly/quarterly spreadsheets and graphs for clinic wide performance and financial data.
- Monitor, report and submit Meaningful Use and ACO data for attestations.
- Available as a Notary Public for patients and staff.
- Records meeting minutes to maintain an accurate record of decisions.
Communication- Initiates telephone calls, emails, and memos to insurance companies, physician offices, physicians and administration in order to fulfill duties.
- Returns calls in a timely manner.
- Exercises judgment as to the urgency and nature of the call and ensures that all problems are handled or passed to the appropriate supervisor in a timely manner.
