  • Description

    We are in the search for an Executive Assistant to join our client's team situated in Carmel, Indiana. This role involves managing high-level administrative tasks for the executive team members. The successful candidate will be adept at schedule management, communication, and providing support to both direct and indirect business partners.

    Responsibilities

    • Serve as a liaison to the Board of Directors and senior management teams, prioritizing incoming requests from external customers and making decisions based on their importance.

    • Independently manage communications, including reading, evaluating, responding, forwarding, or deleting as appropriate.

    • Prepare presentations from concepts provided in either written or verbal form using suitable software packages.

    • Handle special projects, initiatives, or responsibilities as assigned by business partners.

    • Maintain a response time within 24 hours, providing clear communication such as acknowledging receipt of requests or confirming completion.

    • Act as the main contact person in the area to build relationships and minimize disruptions for direct and indirect business partners.

    • Manage the availability of business partners for proposed activities, meetings, events, etc., proactively identifying and resolving scheduling conflicts.

    • Organize business partner's time and ensure they are adequately prepared for each day's activities.

    • Coordinate travel details including hotel, ground/air transportation, meeting sites, participants, and itinerary for business partners.

    • Handle email responses and requests for scheduling as needed by the team in an efficient and timely manner.

    Requirements

    • Minimum of 15 years of experience in Executive Administration is required

    • Demonstrated proficiency in tasks and responsibilities at a high level

    • Prior experience in providing administrative assistance to C-Suite Executives

    • Skilled in managing and organizing calendars for senior management

    • Must have experience in coordinating and planning travel arrangements

    • Ability to handle confidential information with discretion

    • Excellent communication and interpersonal skills

    • High level of organizational skills and meticulous attention to detail

    • Ability to work independently and as part of a team

    • Strong problem-solving skills and the ability to make decisions under pressure

    • Proficient in Microsoft Office Suite or similar software

    • Bachelor's degree is preferred
