  • The Event Coordinator is the liaison between the Event Manager & Event Specialist. Their main responsibilities include every aspect of event preparation in order to setup the Event Specialist for success & ensure the day-of runs efficiently for both the clients & staff. Attention to details, ability to perform well under pressure, excellent communication, critical thinking & organization are vital skills within this role.

    MAIN RESPONSIBILITIES:
    • Event Preparation
      1. Floorplan
      2. Staff Assignments
      3. Menu Signage
      4. Meal Counts & Table Assignments
      5. Staff To-Do Lists/Side Work
    • Overseeing Events
      1. Day-Of Point of Contact to Client
      2. Conduct Pre-Shift with Staff
      3. Assisting with Setup/Breakdown & Provide Direction to Staff
      4. AV Needs
      5. FOH or BOH (Table Service vs. Expediting)
    Weddings Only
    1. Ceremony Conduction
    2. Cocktail Hour Flip
    3. Food/Beverage Décor Display
    DAILY RESPONSIBILITIES:
    • Linen Orders
    • Homebase
      1. Staff Communications
      2. Assigning Captains
      3. Uploading Monthly Shifts
    WEEKLY RESPONSIBILITIES:
    • Liquor Inventory
      1. Inventory Prep based on Weekly Events
      2. Submission to Reps
      3. Check-In on Day-Of Delivery
    • Payment Audit Report & Submission to Event Manager
    • Collecting Event Details & Submission to Event Manager
      1. Phone Calls with Clients
      2. 2nd Site Tours
    • 2nd Site Tours & Ceremony Rehearsals
    • WSFS à Bank Deposits
    MONTHLY/QUARTERLY RESPONSIBILITIES
    • Wedding Tasting
      1. Pulling Clients from Tripleseat
      2. Contact Participating Vendors
      3. Invitation to Clients
    • Monthly Liquor Inventory & Submission to Director of Operations
