    Five Star Breaktime Solutions is seeking an Experience Coordinator to support the planning, monitoring, and execution of events, ensuring seamless communications. The Experience Coordinator will be an essential part of enhancing the business by delivering world-class products and services to guests and leadership. They will focus on personalizing guest services, offering solutions, and ensuring guest needs are met. This role primarily involves managing and executing event plans, ensuring compliance with company policies and public safety codes to maintain high levels of quality, service, and efficiency while upholding Five Star Breaktime Solutions' hospitality standards.

    Key Responsibilities

    • Event Planning & Coordination: Assist with external events, including tasks such as research for upcoming events, printing meeting deliverables, assisting with mailings, gift assembly, on-site coordination, and more.

    • Deliverables Coordination: Oversee the coordination of floor plans, name tags, event rentals (e.g., tents, linens, furniture), signage, and recommendation packages.

    • Supervision: Act as the supervisor on duty in the absence of the direct manager. Lead staff, monitor event progress, and conduct team meetings.

    • Adaptability & Problem-Solving: Demonstrate the ability to work independently, respond to changes in a dynamic environment, and craft effective communications and presentations.

    • Event Communications: Deliver food and beverage changes to tactical team leaders within 48 hours of the event.

    • Technology Use: Manage shared email accounts, proactively assign email ownership, and process event requests.

    • Support Logistics: Coordinate with Event Specialists, assist with local logistics, and provide support for site visits, plant tours, hotel reservations, and transportation as needed.

    • Front of House Tasks: Perform duties such as bartending, wine service, room set-up and tear-down, and more, as required for event success.

    • Tracking & Reporting: Maintain tracking documents, including dietary restriction sheets, and report on event metrics.

    • Vendor Relations: Foster strong relationships with approved vendors and contribute to post-event reviews to improve the guest experience.

    • Collaboration & Teamwork: Participate in pre-shift meetings and collaborate with the GIS-Hospitality team and other departments to deliver superior results.

    • Guest Services: Provide courteous service to all guests and team members while ensuring that confidentiality is maintained in all business matters.

    Qualifications & Education Requirements:

    • A minimum of two years' experience or training in the hospitality or food service industry is required.

    • Supervisory experience is preferred.

    • High school diploma or equivalent, or relevant experience to meet applicable regulations.

    Additional Notes

    • The responsibilities outlined capture 70% of the role. An additional 30% may be delegated by the Hospitality Supervisor or other team members when applicable.

    • While most shifts are Monday through Friday, there may be occasional evening, overtime, and weekend shifts required for special events.

    • This role will be based in Indiana, with both indoor and outdoor working environments.

    • Physical Requirements: The position requires the ability to lift up to 30lbs, perform repetitive movements, and stand or walk for extended periods.
