    Full Time Hourly Position Rate of pay: $18.00 to $20.00 per hour

    RESPONSIBILITIES

    The Case Records Specialist will perform duties including, but not limited to:

    • Ensures confidentiality, safe-keeping, and document maintenance for case records.

    • Consistently maintains adherence to HIPPA privacy law.

    • Becomes knowledgeable of COA accreditation requirements and assists program staff in meeting documentation requirements and preparing for the auditing process.

    • Collects and compile data for Quality Improvement audits as directed by the Manager of Quality Improvement.

    • Ensures that all documentation audited by the contract agency is collected and properly filed prior to all scheduled audits and/or deadlines.

    • Becomes proficient in using the information systems required by the contract agency.

    • Ensures timely completion of data entry required by the contract agency and OYAP documentation policy including: Case Plans, Semi-Annual Reviews (SAR), Court Activity Requests/Results (CARR), New case openings/closings, and Activity Logs.

    • Processes all discoveries and subpoenas requested by the OYAP Managed Care counsel or the legal department of the contract agency.

    • Prepares the Letters of Invitation for all Semi-Annual Reviews (SAR) and assimilate all necessary documents required by the court for the SAR.

    • Collects and compiles data for reports as required for contract compliance.

    • Assists with clerical functions such as photocopying as requested by the attorney, court, office employees, etc.

    • Clears off the printers and fax machines daily.

    • Distributes regular/interoffice mail.

    • Participates in rotation for picking up the Closed Records mail weekly, covering the switchboard for lunch/breaks, and filling food pantry orders.

    • Performs other duties as assigned.

    MINIMUM QUALIFICATIONS

    • Must have minimum of a high school diploma, or equivalent.

    • Minimum of three years' experience in business, or in a clerical position.

    • Previous experience in records management in a child welfare, or medical setting desired.

    • Good typing and filing skills.

    • Experience with word processing, spreadsheets, and data entry.

    • Proficient use of desktop and laptop computers, smart phones and tablets, printers, fax machines and photocopiers as well as software including word processing, spreadsheet and database programs

    Driving and Vehicle Requirements

    • Valid driver's license

    • Reliable personal transportation

    • Good driving record

    • Minimum automobile insurance coverage of $100,000/$300,000 bodily injury liability
