    The University of Washington Office of Admissions has an outstanding opportunity for a Program Operations Specialist, Campus Visits. The Office of Admissions is a unit within the Division of Enrollment Management.     The Program Operations Specialist (working title: Campus Visit Specialist) is a core member of the Office of Admissions Campus Visits team and has responsibility for ensuring accurate, consistent and friendly customer service is provided to prospective students, families, guidance counselors and other influencers who interact with the Office of Admissions. This position reports to the Assistant Director of Admissions for Campus Visits.

    Campus Visit Program welcomes more than 40,000 visitors to the campus annually. This position handles day-to-day operations of Group Visits as well as working with the Assistant Director on strategy and planning efforts for the program.

    This new position will have the opportunity to develop and expand the Group Visit program, serving as the lead for developing policies/procedures and standard operating procedures. They will also lead marketing and outreach efforts to promote and expand Group Visits. Additional responsibilities of this position include using CRM technology.

    DUTIES AND RESPONSIBILITIES Operational Oversight (45%)

    • Lead counseling and coordination of Group Visit's which includes working with and scheduling group visits to the University, maintaining and communicating group tour protocols, formalizing data collection and entry process and training tour guides.
    • Independently manage internal campus partners relationships with Campus Visits.
    • Oversee and manage the database for the Youth Protection Programs Office for Campus Visits to ensure compliance.

    Strategy and Planning (20%)

    • Develop and lead the policies and procedures manual for the Campus Visit Program, which includes safety procedures and group visits and train tour guides and staff on the policies and procedures to ensure compliance.
    • Support with event planning, such as reserving venues, caterers, planning event programming logistics and collaborating with campus and community partners. Events include Game-day Tour, Fall Counselor Breakfast, Admitted Student Day, etc.

    Operations and Administration (20%)

    • Co-manages answering emails from the visit email inbox and phone calls from visitors
    • Manages the group visit form on the website and ensures it is up-to-date
    • Support the Assistant Director for Campus Visits with day-to-day operations

    Special Projects: (10%)

    • Lead our marketing strategy to promote Campus Visits, including Group Tours and Spanish campus tours, with external partners, high schools, community organizations, college access programs, etc.
    • Lead our efforts to explore what a middle school campus visit program would look like and/or what robust options would be available for middle schools that want to visit the University.

    Other duties as assigned (5%)

    • This position may need to pivot, if needed, to meet wider needs of the Campus Visit Program and Office of Admissions.

    MINIMUM REQUIREMENTS

    Bachelor's degree and 1 year of experience in early outreach and youth engagement. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

    • Must be able to demonstrate ability to work effectively independently and as part of a team
    • Must have a strong attention to detail and the ability to maintain progress on competing priorities
    • Strong writing and communications skills
    • Strong interpersonal skills
    • Strong public speaking skills and the ability to present the University in a positive way to diverse populations

    DESIRED QUALIFICATIONS

    • 1-2 years of event planning experience
    • Experience working with diverse populations, as well as an understanding of cultural differences and their effect on college planning
    • Experience working in a campus visit program
    • Former student ambassador or tour guide
    • Graduate of the UW or similar research university

    WORKING CONDITIONS

    • Must be flexible and have the drive to work in a fast-paced office
    • Strong component of public speaking in front of diverse audiences of various sizes
    • This position is overtime eligible and may require the ability to occasionally work evenings, weekends and flexible hours, as well as the loading/unloading and transport of admissions materials, displays and other equipment.
    • Must be comfortable with technology and have basic familiarity with word processing, spreadsheets and database software tools
    • During non-peak periods, this position may work hybrid: three days on campus and two days remote
    • Must be able to demonstrate ability to work effectively independently and as part of a team
