Position Title: CACFP Administrative Specialist - Full-TimeThe Clubhouse provides a supportive environment where adults with mental health disorders come together to build community through collaboration. Members are encouraged to use their strengths, talents, and abilities to contribute to the growth and success of the Clubhouse. The CACFP Administrative Specialist is responsible for overseeing and managing the Child and Adult Care Food Program (CACFP) within the Clubhouse, along with handling front desk operations. This position includes securing and maintaining the food permit for the Clubhouse kitchen and working alongside members to meet their nutritional needs.
Essential Functions:• Work collaboratively with members on general office tasks (e.g., typing, filing, making copies).
• Manage the reception area while supporting member skill-building.
• Answer phone calls, relay messages, and direct inquiries to appropriate staff.
• Collect invoices and vendor receipts related to CACFP.
• Coordinate and conduct all activities related to monitoring CACFP functions, involving members when possible.
• Complete and submit annual CACFP re-certification applications and monthly claims.
• Prepare and submit all required reports (monthly and annually).
• Review and audit all monthly claims to ensure accuracy.
• Enter claim data into the Health Commerce System for reimbursement.
• Maintain and update the CACFP Provider Manual and Procedures Manual.
• Oversee annual CACFP reviews and audits, providing necessary information and documentation.
• Conduct annual staff training on CACFP requirements within the Clubhouse community.
• Perform quarterly audits, including inspecting meal counts, menus, serving sizes, and sanitation standards.
• Oversee the annual collection of income eligibility forms for each member.
• Food Permit Management:
• Gather and submit information for new applications or renewals of the food permit with the Department of Health (DOH).
• Ensure compliance with food safety regulations and obtain/maintain a Food Handler's license.
• Provide on-site program monitoring and technical assistance for CACFP.
• Submit monthly program reports to DOH.
• Perform other tasks as assigned to support the Clubhouse operations.
Qualifications and Requirements:• Associate's or Bachelor's degree in a human services field, with at least 1 year of experience in a non-profit or nutrition-related role.
• Ability to work effectively with a diverse client population.
• Strong organizational skills and attention to detail.
• Proficiency in computer applications, including databases, Word, Excel, and Internet tools.
• Excellent interpersonal and communication skills (written and verbal).
Additional Requirements:• Must pass a background check and fingerprinting.
