  • This position is on-site a minimum of 3 days per week in Sleepy Hollow, NY. Basking Ridge, NJ is not an option for this role. Must be able to travel 50% of the time, both domestic and international travel.

    The Associate Director, Global Meetings & Conventions serves as subject matter expert and strategic partner with the Commercial Business Units (CBUs), Market Access, and Medical Affairs ensuring proactive event support.

    They are responsible for internal and external field meetings, convention and congress management, healthcare professional (HCP) meetings as well as leading production teams, budget creation and reconciliation, and contract negotiations with a sourcing specialist or on their own.

    Management of an outsourced vendor for supplemental meeting management support is required inclusive of vendor training and workload triage.

    In a typical day you will

    1) Serve as a dedicated strategic partner that supports Regeneron and alliance presence at the below Regeneron programs

    • Internal and external field meetings (Plan of Action, Launch, Train the Trainer, Training, Leadership and National)

    • Convention/Congress management, medical association contacts, sponsorship, exhibit space, advertising, housing, registration, and meeting space

    • HCP meetings (Advisory Boards, Steering Committees, Product Theaters and Speaker Bureau Training)

    2) Onboard and manage the meeting vendor to successfully execute programs relative to scope of work

    3) Perform the following planning logistics:

    • Creates agendas for site inspections

    • Determines setup for function rooms including seating and AV

    • Plans, orders, and oversees technology requirements in conjunction with technology vendors

    • Manages all food and beverage needs in support of program objectives

    • Prepares and reviews housing reports in a timely manner

    • Coordinates shipping of materials

    4) Manage supplier partners and internal support areas to ensure quality and timely delivery of in-scope program elements

    5) Ensure HCP and scientific expert engagements are compliantly managed inclusive of:

    • Appropriate venue sourcing

    • Sending invitations

    • Creating website registrations

    • Tracking RSVP's

    • Providing timely HCP reconciliations

    6) Oversee annual budget development and tracking of meetings, conventions and other CBU events

    7) Ensure compliance by adhering to corporate policies and procedures related to company-sponsored events

    8) Develop and maintain relationships with stakeholders and communicates in an appropriate manner

    9) Conduct after action reviews to improve process and execution

    To be considered, you must hold a Bachelor's degree with a minimum 10 years' related pharmaceutical industry experience. Pharmaceutical industry experience is required.

    The following skills are necessary

    • Skilled strategic meeting planning experience with executing both virtual and face-to-face meetings ranging from Advisory Boards, Congresses to Field Meetings

    • Ability to create and communicate relative business acumen to influence the decision making of clients, peers, and other key internal customers

    • Strong customer services skills with ability to deliver on internal stakeholder meeting goals and objectives

    • Strong project management skills often managing multiple pressing priorities and working to challenging and changing deadlines

    • Strong negotiation skills in all areas of event budgets

    • Knowledgeable of Meeting Management software: Cvent

    • Certified Meeting Professional (CMP) is a plus

    • Healthcare Meeting Compliance Certification (HMCC) a plus

    Salary Range (annually)

    $151,800.00 - $247,800.00
