Responsible for the accounting of all cash accounts of Keeneland and subsidiary departments, all aspects of the money room (cash vault) operations, the accounting of all assets, ordering, receipt, distribution, and balancing of cash and staffing daily. Handle cash transactions during the Sales. Assists the Money Room manager with providing mutuel clerks with cash on a timely basis and responsible for the accuracy of the daily cash flows in and out of the money room. Ensures that all necessary internal controls are in place and followed. Prepares daily reconciliations and submits financial reports to the Director of Racing Finance and Controller. Assists with the monthly close process and serves as backup for team members if they are unavailable.
ESSENTIAL DUTIES AND RESPONSIBILITIES:- Assists with the management of the money room as Keeneland's bank for all cash accounts for all departments.
- Follows established control procedures to ensure the proper accounting and safeguarding of the money room assets and provides recommendations to improve controls as needed.
- Ensures that accurate deposits are made in an orderly and timely fashion.
- Reconciles cash disbursements and receipts daily and provides financial reports to Finance. Uses CHRIMS system to balance money room assets (cash, cross cash, ADW account wagering, outs, and bankroll) and post daily journal entries; investigates and reconciles differences with United Tote data.
- Prepares currency/coin bags for mutuel clerks' daily use and manages cash distributed to mutuel divisions.
- Assists the Money Room Manager with the reconciliation of clerks daily. Administers clerk overages and shortages and oversees payouts and collections, respectively.
- Prepares weekly pari-mutuel tax reports, tracks and deposits 945 & 1042 tax payments.
- Assists Money Room Manager with daily staffing needs of Money Room personnel (Division Heads and Counters).
- Supports United Tote with: BAM adjustments, Tote buys, and claim releases.
- Assists with the preparation of Armored Car schedules, receives and verifies proper delivery of cash from armored car.
- Maintains a daily inventory of money. Responsible for Money Room balancing and investigates variances, as needed.
- Maintains security of vault and controls access of personnel to vault; controls the movement of cash in and out of vault.
- Assist Director of Racing Finance with audit assistance, surprise cash counts, inventory controls, cash accounting procedures, etc.
- Assist Finance and Mutuel departments with handicapping contests, projects, and assignments, as needed.
- Assists with managing the monthly close process including bank reconciliations, account reconciliations, and preparing and posting various journal entries.
- Assure compliance with all State and Federal laws regarding the reporting of cash transactions.
- Serves as a backup for team members if they are unavailable.
- Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES: Assists Money Room Manager in the supervision of Division Heads and Counter Employees in Mutuel Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Other responsibilities include training employees, planning, assigning, and directing work, appraising performance, rewarding and disciplining employees, addressing complaints, and resolving problems.

EDUCATION and/or EXPERIENCE: Bachelor of Science in accounting or finance preferred. Minimum of at least 2-3 years of relevant experience and/or training. Additional relevant experience in a banking or racetrack, Mutuels, or money room position may be substituted for the education on a year-for-year basis. Strong computer skills required, specifically Excel; Sage Intacct experience a plus.
LANGUAGE SKILLS- Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to employees, top management and public groups.
MATHEMATICAL SKILLS- Ability to apply financial mathematical concepts to solve various equations and develop forecasting cash requests.
REASONING ABILITY- Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
CERTIFICATES, LICENSES, REGISTRATIONS- Kentucky Horse Racing and Gaming Corporation License.
