Description We are offering a contract for a permanent position as an Administrative Services Assistant in Nashville, Tennessee. In this role, you will perform a variety of tasks including maintaining documentation, handling materials, and overseeing operations. You will be working within the Family Health and Wellness division, specifically the Perinatal Infant and Pediatric Care section, where you will contribute to the Childhood Lead Poisoning Prevention Program.
Oversee the Childhood Lead Poisoning Prevention Program, ensuring all procedures and protocols are followed.
Handle purchase orders for the program, obtaining necessary approvals and ensuring their timely submission.
Monitor and maintain accurate records in the LeadTRK program database.
Assist in the case management of children with elevated blood lead levels, including making necessary referrals and following up with providers.
Maintain an adequate supply of printed materials for the program, reviewing and reordering as required.
Process vendor payment requests, verifying the information and submitting it to the program director for signature.
Coordinate and manage in and out-of-state travel requests for staff.
Oversee the renewal of contracts, ensuring all contracts are finalized prior to the start of the new contract cycle.
Assist in the preparation and submission of grant applications and required reports.
Provide training on the use of the state administrative computer system and other relevant computer programs.
Proficiency in Microsoft Word and Excel is required. Requirements - Proficiency in using Microsoft Excel and Microsoft Word
Demonstrated ability in handling documentation and review processes
Experience with training, onboarding, and supervising staff
Familiarity with operations, materials handling, and procurement procedures
Ability to manage invoice and receipt processes
Knowledge of budget processes and expense reporting
Competence in managing and updating databases
Understanding of contracts, purchase orders, and authorizations
Ability to use monitoring tools effectively
Experience in tracking attendance and verification procedures
Ability to handle referrals professionally
Proficiency in using spreadsheets for various tasks
Willingness to handle travel arrangements for staff
