Description
We are in search of a meticulous and proactive Administrative Program Coordinator to join our team based in Philadelphia, Pennsylvania. The Administrative Program Coordinator role will be instrumental in supporting the Program Officer and participants in a global leadership organization. The job function will entail maintaining comprehensive databases, coordinating travel logistics, and providing administrative support in a long-term contract employment opportunity.
Facilitate efficient communication between program officers and fellows
Ensure the accurate entry and updates of database files
Coordinate and manage travel logistics for fellows, including flights and hotel bookings
Develop and distribute itineraries for fellows
Manage and maintain accurate fellow's information and records
Format and edit program documents as needed
Conduct research to support program objectives
Set up and manage Zoom accounts for new fellows
Compile and analyze survey results
Assist with other administrative tasks and projects as required.
Requirements
Minimum of 1+ years of experience in a similar role
Proficiency in ADP - Financial Services, Banner Ads, Cisco Webex Meetings, Concur, CRM, and About Time
Experience in budget processes and calendar management
Excellent communication skills
Experience in working with C-Suite executives or similar high-level roles
Ability to work in a team environment and independently
Strong organizational skills and attention to detail
Ability to prioritize and manage multiple tasks simultaneously
Proactive attitude and ability to take initiative
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Must have a high school diploma or equivalent; a bachelor's degree is preferred
Familiarity with basic office equipment and procedures
Excellent problem-solving skills and the ability to think critically
Strong customer service skills and a professional demeanor
Must have a reliable mode of transportation.
