    We are in search of a meticulous and proactive Administrative Program Coordinator to join our team based in Philadelphia, Pennsylvania. The Administrative Program Coordinator role will be instrumental in supporting the Program Officer and participants in a global leadership organization. The job function will entail maintaining comprehensive databases, coordinating travel logistics, and providing administrative support in a long-term contract employment opportunity.

    Responsibilities

    • Facilitate efficient communication between program officers and fellows

    • Ensure the accurate entry and updates of database files

    • Coordinate and manage travel logistics for fellows, including flights and hotel bookings

    • Develop and distribute itineraries for fellows

    • Manage and maintain accurate fellow's information and records

    • Format and edit program documents as needed

    • Conduct research to support program objectives

    • Set up and manage Zoom accounts for new fellows

    • Compile and analyze survey results

    • Assist with other administrative tasks and projects as required.

    Requirements

    • Minimum of 1+ years of experience in a similar role

    • Proficiency in ADP - Financial Services, Banner Ads, Cisco Webex Meetings, Concur, CRM, and About Time

    • Experience in budget processes and calendar management

    • Excellent communication skills

    • Experience in working with C-Suite executives or similar high-level roles

    • Ability to work in a team environment and independently

    • Strong organizational skills and attention to detail

    • Ability to prioritize and manage multiple tasks simultaneously

    • Proactive attitude and ability to take initiative

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

    • Must have a high school diploma or equivalent; a bachelor's degree is preferred

    • Familiarity with basic office equipment and procedures

    • Excellent problem-solving skills and the ability to think critically

    • Strong customer service skills and a professional demeanor

    • Must have a reliable mode of transportation.
