    Growth Works is seeking a Part-Time Administrative Assistant - Receptionist to join our Garden City team. Core days and hours of work are Monday-Friday 9am-2pm, with some flexibility.

    Duties and responsibilities

    • Receive visitors and clients in a professional and courteous manner.
    • Answer incoming telephone calls; triage calls for staff and management, including taking messages, forwarding calls.
    • Act as first point of contact for new families or clients entering facility;
    • Schedule intake interviews, substance abuse assessments & some visitation sessions.
    • Transfer/enter case notes into internal databases completely, accurately and in a timely manner
    • Provide support to management.
    • Utilize internal databases to assist in the development and monitoring of client files
    • Ensure accurate recordkeeping of incoming cash payments for bank deposits (including may bring to Plymouth Main Office)
    • Prepares, sorts and distributes incoming mail & mails outgoing letters and packages for the location
    • Complete specific data entry, collection, and reporting processes as assigned
    • Exercise independent discretion to make recommendations for and execute the organization of office and equipment to improve the flow and ease of use
    • Coordinates with Plymouth Receptionist to monitor, order, and maintain office and maintenance supplies for Garden City location
    • Assists in orienting new staff to the Garden City location
    • Assists with preparation, set-up and support for internal and agency meetings.
    • Supports and completes clerical tasks as requested by staff and management.
    • Completes additional activities as assigned by Program Director and Program Supervisor

    Qualifications

    • Minimum educational requirements are a high school diploma or GED, bachelor’s degree preferred.
    • Two to three years’ prior experience in a human services environment, as an administrative assistant or receptionist highly preferred.
    • Excellent computer skills including excel spreadsheets and other database programs;
    • Experience in data entry and reporting;
    • Highly organized, self-directed and detail oriented with an assertive manner;
    • Excellent internal and external customer service skills;
    • Solid demonstrated experience using the MS Office Suite drafting communications, memos, and general correspondence.
    • Excellent oral and written communication skills
    • The ability to multi-task, prioritize, and escalate concerns, in a fast-paced, changing environment

    PHYSICAL REQUIREMENTS:

    • Must be able to complete manual tasks involving dexterity to enter and retrieve data using computer systems, systems applications, and other office equipment.
    • Ability to lift and transport materials/supplies up to 25 lbs. for internal documentation and recordkeeping, court support, and other administrative tasks.

    Compensation details: 17.5-22 Hourly Wage
