Position Description:
Administrative assistants manage and distribute information within the regional office. This generally includes answering phones, taking memos, and maintaining files.
Position Qualifications:
Sort and distribute incoming mail; process outgoing mail efficiently.
Utilize payroll and accounting software for financial transactions.
Maintain an organized and efficient office environment.
Restock break room supplies to ensure availability.
Draft and prepare routine correspondence.
Maintain files and records systematically for easy retrieval.
Answer phone calls and coordinate conference calls professionally.
Manage calendar, schedule appointments, and prioritize tasks.
Organize travel arrangements, including transportation and accommodations.
Arrange meetings, prepare facilities, and ensure all necessary materials are available.
Make document copies and handle printing needs.
Order office supplies and arrange for equipment maintenance as needed.
Assist in organizing and running meetings and corporate events effectively.
Handle office errands, such as store visits and lunch.
Greet guests at office reception desk, validate parking, etc.
Essential Duties:
Positive Attitude.
Ability to read and comprehend simple instructions, short correspondence, and memos. This includes the ability to write simple correspondence.
Effectively presents information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Willingness to take directions and follow instructions. Requires the ability to carry out detailed but uninvolved written or oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.
Willingly asks questions and implements new and more effective procedures to document control and management.
Works collaboratively with others and fosters a positive work environment related to teamwork.
Understands and meets quality standards.
