    We are seeking a motivated and organized Administrative Assistant to join our client's team in Minneapolis, Minnesota. This position will play a crucial role in ensuring the smooth operation of our client's office. Ideal candidate is a proactive individual who can manage multiple tasks, communicate effectively, and maintain a professional demeanor.     Responsibilities

    • Oversee daily office operations, including maintaining office supplies, equipment, and ensuring a tidy and efficient workspace.

    • Greet clients and visitors, answer and direct phone calls, and manage incoming and outgoing mail.

    • Assist in scheduling meetings, appointments, and travel arrangements for team members.

    • Coordinate logistics for internal and external meetings and events.

    • Arrange travel and assist with business event planning.

    • Organize and maintain electronic and physical files, including project documentation, correspondence, and contracts.

    • Assist in the preparation and formatting of reports, presentations, and other documents.

    • Process project documentation and submittals for construction projects.

    • Serve as a liaison between staff, clients, and vendors.

    • Manage customer database and create customer contact reports.

    • Provide administrative support to Executives, Project Managers, and administrative staff, including assisting with project-related tasks.

    • Contribute to special projects and initiatives as needed, supporting the firm's goals and objectives.

    Requirements

    • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field preferred.

    • Minimum of 2 years of administrative experience, preferably in an architecture, design, or construction environment.

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    • Experience in PDF editing, basic graphic design skills, contact management database platforms, or project management software are a plus.

    • Excellent written and verbal communication skills.

    • Strong organizational and multitasking abilities.

    • Detail-oriented with a high level of accuracy.

    • Ability to work independently and as part of a team.

    • Professional and courteous demeanor.
