    Position Summary

    Administrative Assistant
    Jane Stephens Honors Program and Faculty Senate

    Full-Time

    The Administrative Assistant will work 20 hours a week for the Faculty Senate and 20 hours a week with the Jane Stephens Honors Program.

    Primary Responsibilities
    • Provides full administrative support to Faculty Senate and Honors Program
    • Greet visitors, answer phone lines, and schedule campus visits while providing quality customer service to constituencies
    • Records minutes of all Faculty Senate meetings, including summaries of debates concerning bills and resolutions
    • Distributes minutes and publicizes meeting agendas in electronic form
    • Maintains paper and electronic files, including archives of bills, resolutions, and minutes
    • Creates/maintains searchable databases, accessible via the Internet of those documents
    • Maintains paper and electronic form archives of Faculty Senate committee reports, cross-referenced as appropriate to bills and resolutions
    • Oversees scheduling of meetings of Faculty Senate and Senate committees
    • Attends and records minutes of Faculty Senate legislative committees and conference committee meetings, as scheduling allows
    • Maintains Faculty Senate and Honors Program budget
    • Assists in the maintenance of the Faculty Senate and Honors Program website
    • Assists in the management of the Honors Program Graduate Assistant and Student Worker
    • Contact publishers for textbook desk copies and process textbook requests from faculty
    • Maintain department waiting lists for classes and run prerequisite checks for classes
    • Enter detailed class information and instructor information into Banner for each term
    • Correspond with current and prospective students
    • Maintain various department mailing lists
    • Maintain and organize department and student files, both paper and electronic
    • Compose and produce letters, memos, and reports
    • Performs other administrative, archival, and data collection duties as assigned
    Required Qualifications
    • High school diploma or GED
    • Demonstrated complete administrative skills including excellent interpersonal, verbal, and written communication skills
    • Proficient knowledge of Microsoft Office
    • Excellent organizational skills and time management skills
    • Demonstrated ability to handle multiple tasks with frequent interruptions
    • Demonstrated ability to work independently with minimal supervision
    • Evidence of accuracy in recording data and attention to detail
    • Demonstrated ability to initiate and maintain positive relationships, including the ability to communicate effectively with faculty, staff, administration, and community members
    • Experience with bookkeeping, contracts, and/or budget management (purchasing, accounts payable, receivables, etc.)
    • Ability to handle sensitive and confidential information
    • Demonstrated experience and understanding of customer service
